How to View Form Submissions in Formester

Formester collects every submission in real time and stores it in an organized table. You can easily track responses, check analytics, and view summaries to understand your form’s performance.

Steps to View Form Submissions

  1. Open your form from the Formester dashboard.
  2. Click on the Results tab at the top.
  3. View all submissions in a clean, table format.
  4. Next to the table, open the Analytics tab to see important metrics such as completion rate, drop-off rate, and drop-off pages.
  5. Switch to the Summary tab to see response distribution for choice-based questions like multiple choice or single choice.

Advanced Options in the Submissions Tab

Select and Star Submissions

When reviewing a large number of responses, it’s easy to lose track of the most important ones. Formester allows you to select specific submissions and star them so they remain highlighted at the top of your view. This is especially helpful if you want to quickly return to key responses during analysis, prioritize leads, or flag certain entries for team follow-up. Instead of digging through rows of data, you can focus only on the submissions that matter most.

Mark Submissions as Spam

Sometimes forms can attract spam or irrelevant entries. With Formester, you can mark any unwanted submission as spam, which automatically removes it from your main data view. This ensures that your reporting and analytics stay clean and accurate. By keeping your dataset free of false entries, you’ll have more reliable insights and avoid wasting time on data that doesn’t serve your purpose.

Filter Based on Answers

Filtering is a powerful feature in the Submissions tab. You can apply filters to view only those responses that match specific answers given to your form questions. For example, if you want to see only respondents who selected “Yes” to a qualifying question or those who belong to a certain location, filters make this easy. This allows you to segment your data, compare results between groups, and uncover trends that might otherwise go unnoticed.

View Partial Submissions

If you have enabled partial submissions, Formester will capture responses even if the user doesn’t complete the form. In the Submissions tab, you can filter these incomplete entries to see where respondents dropped off. This gives you a deeper understanding of friction points in your form, such as questions that cause confusion or sections where people lose interest. You can use this data to optimize form design and increase your overall completion rates.

Export All Data as CSV

With a single click, you can export all your submission data as a CSV file. CSV exports are ideal for deeper analysis in tools like Excel, Google Sheets, or BI dashboards. Exporting also makes it easier to share raw data with colleagues, clients, or external systems. Whether you want to run custom reports, merge results with other datasets, or simply back up your records, CSV export ensures you always have flexible access to your data.

Add and Use Custom Columns

Beyond the standard fields captured by your form, you can add custom columns inside the Submissions tab. These extra columns allow you to tag entries with notes such as “priority,” “requires follow-up,” or “approved.” Once your submissions are tagged, you can use filters to categorize them. This makes collaboration easier for teams, as everyone can see the current status of each entry without relying on external spreadsheets.

Edit Submissions

Formester gives you the ability to edit any submission directly from the dashboard. If a respondent makes a typo, updates their details, or if you need to make corrections for internal purposes, you can adjust the entry without losing its original structure. This ensures your dataset remains accurate and up to date, which is especially important for forms used in HR, client onboarding, or lead management.

Sometimes, respondents may need to update their own submissions. Instead of manually editing it yourself, you can generate a secure edit link and send it back to them. This link allows the user to correct or update their information at any time, while still keeping their record tied to the original submission. This feature is useful for forms with dynamic information, such as applications, registrations, or surveys where details may change.

Download Submissions as PDF

For easy storage, sharing, or offline review, each submission can be downloaded as a PDF file. Using Formester’s custom PDF editor, you can style these files to reflect your brand by adding headers, footers, or logos. You can also control how the responses appear in the document, making it professional enough to share with clients, team members, or stakeholders. This feature is especially useful in industries where signed or archived records are required.

Delete Submissions

If a submission is no longer relevant or was added by mistake, you can delete it from your dashboard. This keeps your records clean and prevents old or irrelevant data from interfering with reporting. By maintaining a clutter-free submission table, you make it easier for your team to focus only on actionable insights and accurate information.

Best Practices for Reviewing Submissions

  • Check regularly to catch trends early and make timely improvements.
  • Use analytics data to identify problem areas where users drop off.
  • Review summaries for choice-based questions to quickly spot popular responses.
  • Export data if you want to share results with your team or analyze in detail.

Use Cases for Viewing Submissions

  • Track Campaign Success: See how many users completed your form during a marketing campaign.
  • Improve User Experience: Use drop-off analytics to understand why users abandon forms.
  • Measure Engagement: Identify which choices attract the most responses.
  • Report to Stakeholders: Share clean, organized tables with your team or clients.
  • Optimize Future Forms: Use past submission data to improve structure, wording, or layout.
