How to Convert a PDF into a Fillable Form
If you’re still relying on PDFs that your customers need to print, fill out, and send back, you’re missing out on the convenience and efficiency of interactive online forms. By converting a PDF into a fillable form, you allow your customers to complete the form online, collect e-signatures, and store all responses in one place for easy reference.
Here’s a step-by-step guide on how to turn your PDF documents into interactive online forms.
Step 1: Create a New Form
- Log in to your form-building platform.
- Click on Create New Form.
- Select the option to convert PDF to Form.
- Upload your PDF document. The AI will automatically extract all elements from the PDF and generate fillable fields.
For example, if your PDF is a sales quote, it might extract fields such as company name, address, quote number, customer name, and terms and conditions.
Step 2: Customize the Form
Once your PDF is converted into a form, you can customize it to match your requirements:
- Click on a field to change the question type (single-line input, multi-line input, etc.).
- Edit the field label and provide a description.
- Add default text and mark fields as required or optional.
- Change the theme of the form to make it more professional.
- Add your logo or background image for branding.
Step 3: Publish and Share
- Hit Publish once your form is ready.
- Copy the URL from the share tab and send it to your customers.
- If you want the form embedded on your website, use the Embed Tab to get the HTML code and paste it on your landing page.
This makes it easy for customers to fill out the form directly on your website without downloading anything.
Step 4: Convert Form Responses Back into PDF
If you need the form data to appear back in a custom PDF format, follow these steps:
- Go to Settings → Advanced Settings → Connect Form to PDF and toggle the option on.
- Open the PDF Editor and upload your original PDF.
- Add elements to map each form field to the correct location on the PDF.
- Use the @ sign to recall data from each field (e.g., quantity, customer name).
- Save your changes.
Whenever a customer submits the form, their input will automatically populate your PDF, which you can then download from the Results Tab.
Benefits of Using Fillable Forms from PDFs
- Faster submissions: No printing, scanning, or manual entry.
- Accurate data: Reduce errors from manual data entry.
- E-signatures: Collect approvals online.
- Centralized storage: All responses in one place for easy tracking and reporting.
- Custom PDFs: Automatically generate completed PDFs from form submissions.
Converting PDFs into fillable forms makes data collection easier, faster, and more professional. By using this approach, you can streamline workflows, improve customer experience, and ensure that all submissions are accurate and ready for processing.
